Data-driven events, or hop on the moving train of 2025 trends

You've just wrapped up an event that you spent several weeks or months preparing. Everything is over, the time for reflection has come, and you've started asking yourself:

❓ Was the event a success?

...well, people liked it, the boss praised me, the client was happy, and I'm not aware of anyone complaining.

❓ Can I evaluate it based on some data?

...well, we have the number of registrations in some CSV I don't know how to work with, in the Excel we used for check-in we can look at how many people actually showed up (how long were they there, roughly? 🤔), and then we emailed out a satisfaction form and maybe there's something else somewhere...

❓ Was it even worth doing?

😬....people wrote that the catering was good and the program was better than last year...

❓ Does it make sense to do it again next time with the same budget? 😬

...well, the catering and the host can always be better

❓ Did the event meet its business goal?

...business goal? Well, that was the number of registrations...Or wasn't it?

Don't go by feelings, go by data.
Data helps show you which direction you're moving in.
You don't have that data?
It's time to change that.

We wrote about what KPIs an event should have and which ones are worth tracking in one of our previous articles. And what will next year be about?

#1 - Be time- and cost-efficient

Automating processes and managing events

  • Automate key processes from registration and attendee management all the way to analysis and feedback. The result is saving up to 80% of the time you would otherwise spend on manual tasks or pay for assistants.
  • Don't reinvent the wheel every time. Replicate as many working processes, tools, and created content as possible.

Reducing software costs

  • Reduce the need to create a unique solution for every single event.
  • Use tools that communicate smoothly with one another, so you don't drown in dozens of Excel spreadsheets or expensive integrations with your enterprise systems. Less is sometimes more. There are also all-in-one platforms that replace the need for multiple software tools. Save up to 75% on licenses for recurring events.

Easy management thanks to centralized data

  • The ideal scenario is to have all the information about your events in one place, which lets you easily manage events and plan better. Managing contacts for all events in one place, where you filter and invite to other events. No unnecessary extra work.

#2 - Collect data and analyze the entire event lifecycle so you can do #1

  • Analyze the entire registration and invitation process, tickets, and incomplete registrations in full – at which step they stopped
  • Today you can even track how many people you currently have at the event (check-in/check-out), how much time they spent at the event on average (how many lasted until the end and saw the whole program), and which halls they visited
  • Measuring engagement. Plenty of activities, even at an in-person event, can be handled digitally – you can easily evaluate whether anyone even appreciates the work you put into the preparation and whether it makes sense to do it again next time.
